Privacy Policy

DJ Ari ("we", "us", "our") provides DJ and entertainment services for weddings, parties, and other celebrations. This policy explains what personal information we collect, why, and how we handle it, in line with the Australian Privacy Principles (Privacy Act 1988 (Cth)).

What we collect

When you enquire about or book our services, we may collect:

●      Your name, phone number, and email address

●      The name of the person being celebrated (if different from you) and the type of celebration

●      Event details: date, time, venue, and venue address

●      Booking and payment details: total fee, deposit and balance amounts, payment status

●      Any notes, run-of-night details, or special requests you give us (e.g. must-play/do-not-play songs, timing preferences)

●      Song and playlist requests you submit through our online client portal, including links you paste from Spotify

●      Your acceptance of our Terms & Conditions (name and timestamp)

●      Responses to our pre-event planning questionnaire, if applicable

●      Your venue manager's name, phone, and email, where you provide it to us for event coordination

How we use it

We use this information to:

●      Prepare and manage your booking, contract, and invoice

●      Communicate with you about your event (confirmations, reminders, pre-event checklists, and thank-you messages)

●      Plan and run your event, including passing relevant logistical details (timing, run sheet, song requests) to the DJ and any support crew rostered on your event

●      Coordinate with your venue where needed

●      Meet our own legal, tax, and accounting obligations

We do not sell your personal information, and we do not use it for marketing to third parties.

Who we share it with

We use the following service providers to run our booking system and deliver our services. Each only receives the information needed to perform its function for us:

●      Supabase — our database and authentication provider, used to securely store booking, client, and event records

●      Vercel — hosts our booking and client portal system

●      Resend — sends our booking-related emails (confirmations, reminders, checklists, thank-you messages)

●      Spotify — if you submit a song or playlist link, we send that link to Spotify's public API to retrieve the track/playlist title, artist, and artwork. No personal information is sent to Spotify as part of this.

●      Google — used for venue address lookup and autocomplete when entering event details

●      Xero — used for invoicing, where applicable

These providers may store data on servers outside Australia. Where this occurs, we take reasonable steps to ensure your information continues to be handled in a manner consistent with the Australian Privacy Principles.

We may also disclose information where required by law.

Our client portal and cookies

Our client-facing event portal does not require you to create an account or log in with a password — access is via a private link sent to your email, unique to your event. This means we don't set tracking cookies or maintain a persistent login for clients.

Our staff/admin system uses a session cookie solely to keep authorised staff signed in.

How long we keep it

We retain booking and financial records for as long as required for our tax and accounting obligations, and other personal information for as long as reasonably necessary for the purposes above, after which it is deleted or de-identified.

Your rights

You can ask us to access, correct, or delete the personal information we hold about you at any time by contacting us (details below). We'll respond within a reasonable timeframe. Some information (e.g. financial records) may need to be retained for legal reasons even after a deletion request.

Security

We take reasonable technical and organisational steps to protect your information, including encrypted connections (HTTPS) and restricting access to staff who need it to do their jobs.

Children

Our services are not directed at children, and we don't knowingly collect personal information directly from children. Event details for a child's celebration (e.g. a birthday party) are provided to us by the booking parent or guardian.

Changes to this policy

We may update this policy from time to time. The "last updated" date at the top will reflect the most recent version.
